How to Label Unresolved QC Findings Before Parcel Approval

Keep a received item with an unanswered QC question separate from items ready for dispatch and ask which handling instructions the service can accept.

Identify the exact question

An unresolved receiving check is not a pass. Give the affected item both your source label and the handling service’s received reference. State the precise observation still waiting for an answer, so it cannot disappear into a general “all items okay” message.

Record the evidence

  • Separate ready, pending and unmatched received items.
  • Name the question attached to each pending item.
  • Record whether a recheck has already been requested.
  • Keep the proposed parcel contents in a separate list.

Decide what to send next

Ask which handling choices the service actually offers for the pending item; do not assume indefinite holding or a particular parcel split. Tie final dispatch approval to the confirmed received list. Other items may have different states, so an open concern for one should not be assigned to all by default.

A concrete example

A parcel draft may include A1, A2 and B1 while A2 has an unanswered colour question. Mark A2 pending by its service ID and send a proposed list that makes that exception impossible to miss.
